Gym membership renewals: a reminder routine that does not depend on memory
A renewal you miss is money you never see, and it often comes down to nobody noticing in time. A good renewal routine has three parts: know who is expiring, remind them early and more than once, and make renewing quick. This guide lays the routine out and shows which part GymFlow does for you.

Step 1: know who is expiring
You cannot remind someone you have not noticed. In GymFlow every member is marked Active, Expiring (7 days or fewer left) or Expired, and you can filter the member list by any of them. The Leaving report shows how many plans end this week and in the next 30 days, what they are worth if everyone renews, and who has let a plan end in the last 30 days without renewing.
On a register or a sheet, the same step means sorting by expiry date and reading the top of the list every day. See gym software vs Excel.
Step 2: remind more than once
This is general advice, not a GymFlow setting. One reminder is easy to miss, so a sequence works better than a single message:
- Two to three weeks before: a friendly first reminder with the end date.
- About a week before: a second one, with the fee and how to pay.
- A few days before: a short last reminder.
- When the plan ends: tell them the plan has ended and what to do next.
- After it ends: one or two gentle messages inviting them back, then stop.
GymFlow follows the same shape. The first expiry reminder goes out 18 days before the end date and repeats about every 3 days, up to 7 times. After the end date, expired-membership messages continue for up to 18 days.
Step 3: say it simply
- Say who the message is from, the member's name and the date the plan ends.
- Say what to do: come to the desk, or pay by UPI.
- Keep it short. One request per message.
GymFlow's automatic messages already do this, using templates approved by Meta. The wording is fixed, so you cannot edit it. Each message carries your gym's name, the member's name and details such as the plan and the dates.
Step 4: make renewing quick
- Open the member and tap Renew.
- Pick the plan, the start date, the amount and how they paid (cash, UPI or card).
- Save. GymFlow records the renewal, sends the member a renewal confirmation on WhatsApp and stops any expiry reminders still going out for the old plan.
Plans can be monthly, quarterly, annual or any length from 1 to 24 months, and GymFlow works out the expiry date from the start date and the plan. Longer plans mean fewer renewals to chase.
What to do about money owed at renewal
A member who renews but pays only part now keeps the rest as a pending due. GymFlow sends a payment due reminder with the amount, repeating about every 3 days up to 7 times, and stops when the due is paid in full. You can also tap the green WhatsApp button next to a member on the Dues page to open a ready-written message in your own WhatsApp. See fees and dues.
Step 5: check how it is going
- The Members report shows how many members joined and renewed this month, with a chart of new members and renewals for each of the last six months.
- The Leaving report shows plans ending this week and in the next 30 days.
- If plans keep ending and renewals do not keep up, your reminders are not landing: look at the Attendance report for members who stopped coming before their plan ended. See how to track gym attendance.
Common questions
How early should I remind members to renew?
There is no single right answer. Two to three weeks is long enough for a member to plan and short enough that they do not forget. GymFlow starts 18 days before the end date.
What if a member lets the plan lapse for a few weeks?
They show as Expired. The expired-membership message goes out for up to 18 days after the end date, and the Leaving report lists members whose plan ended in the last 30 days and who have not renewed, with a one-tap message button for each.
Do the reminders stop when I renew a member?
Yes. The moment you record the renewal, that member's expiry reminders stop and a renewal confirmation goes out instead.
Will members I import get reminders?
Yes, if their plan ends soon or ended in the last two months, they are reminded straight away. Nobody gets a welcome message from an import. See import and export.
Good to know
- WhatsApp messages only go to members with a valid 10-digit mobile number, so keep numbers complete.
- You are responsible for having your members' permission to contact them on WhatsApp.
- Reminders can only follow what you record. A renewal or payment you forget to enter will not stop its reminders.
Who it is for
Owners who find out a plan has ended only when the member walks in, or never. For the full list of automatic messages and how they are scheduled, see WhatsApp automation for gyms.
