WhatsApp automation for gyms: what to automate and how to set it up
WhatsApp automation for a gym means the right message reaches the right member at the right time without you typing it: a welcome when they join, reminders before the plan ends and a nudge when money is pending. This guide covers what is worth automating, how the schedule works in GymFlow and what to check before you rely on it.

Why gyms automate WhatsApp
Most of a gym owner's messages are the same few, sent again and again: welcome, renew, pay. Typed by hand they depend on your memory and your free evenings, and the ones you forget are the ones that cost money. Automation does the repeating part and leaves you the conversations that need a person.
Seven messages worth automating
- Welcome: sent once when a member is added, with the plan, start date and member ID.
- Renewal confirmation: sent when you renew a membership, with the plan and the date it is valid until.
- Expiry reminder: starts 18 days before the plan ends and tells the member how many days are left.
- Membership expired: if the member has not renewed, a message after the end date asks them to come back, for up to 18 days.
- Payment due: sent when an amount is pending, and names the amount.
- Birthday wishes: sent on the member's birthday, if you saved their date of birth.
- Member app invitation: sent when you invite a member to the member app, with their personal link.
A sample timeline for one member
Take a member whose plan ends on the 30th of the month and who still owes part of the fee. The dates are an example.
- The day you add them: a welcome message goes out once.
- The 12th, 18 days before the plan ends: the first expiry reminder, saying how many days are left. It repeats about every 3 days, up to 7 times.
- If they renew on the 20th: you record the renewal, a renewal confirmation goes out and the remaining expiry reminders stop.
- If they do not renew: after the 30th the expired-membership messages begin and continue for up to 18 days.
- While money is pending: a payment due reminder names the amount and repeats about every 3 days, up to 7 times. It stops when the due is paid in full.
- On their birthday: a birthday wish, if you saved the date of birth.
The rules behind the schedule
- Expiry, expired and payment due reminders are checked once a day, in the morning (about 9 AM India time).
- Each reminder repeats every 3 days, up to 7 times, then stops.
- The moment you renew a plan, its expiry reminders stop. The moment a due is paid in full, its payment reminders stop.
- A member never gets the same reminder twice on one day.
- Only members with a valid 10-digit mobile number receive messages.
- Scheduled messages are queued and sent in small batches, so a very large list can take a while to finish. A message that cannot be sent straight away is held and tried again later.
A set-up checklist before you rely on it
- Check every mobile number. Only valid 10-digit numbers get messages. Numbers are tidied into that format when you import a list.
- Save dates of birth if you want birthday wishes.
- Record every renewal and payment as it happens, so the right reminders stop. A payment you forget to enter keeps the reminder going.
- Tell members you will message them on WhatsApp. You are responsible for having their permission to contact them, and members can ask your gym to stop messaging them.
- Importing an existing list? Members whose plan ends soon or ended in the last two months are reminded straight away, and nobody gets a welcome message from an import. See import and export.
What automation does not do
- It does not let you change the wording. The messages use templates approved by Meta, the company behind WhatsApp. Each one carries your gym's name and the member's name, plus details such as the plan, the dates or the amount due.
- It does not replace a conversation. A member with a large balance, or an unhappy member, deserves a call.
- It does not come from your own number. Automatic messages go out from GymFlow's WhatsApp Business number, so there is nothing for you to register. The message buttons on the Dues and Reports pages are different: they open a ready-written message in your own WhatsApp, sent from your number.
What it costs
On the free forever plan (₹0 for up to 50 members), WhatsApp messages need the WhatsApp add-on at ₹299 a month. On the paid plans, ₹999 a month or ₹9,999 a year, there is no per-message charge. See pricing.
Common questions
Do I need my own WhatsApp Business account?
No. Messages go out from GymFlow's WhatsApp Business number, so there is nothing to register or connect on your side. Your only job is to keep each member's mobile number correct.
Can I change the wording of the messages?
No. The wording is fixed by the templates Meta has approved. What you control is who you add and what you record.
Can I send a message myself?
Yes. Open any member and tap WhatsApp. Choose one of the approved messages (welcome, renewed, expiry reminder, expired, payment due or birthday), read the preview and send it.
How many reminders will a member get?
Expiry, expired and payment due reminders are checked once a day and repeat every 3 days up to 7 times. They stop when you renew a plan or the due is paid in full, and a member never gets the same reminder twice in one day.
Who it is for
Owners who spend part of every week phoning members to renew or pay. The full list of messages and the schedule is on the WhatsApp reminders page, and gym membership renewal reminders shows how to use them to keep members.
