Fitness studio management software for yoga, Zumba and dance studios
GymFlow was built for gyms, but a studio that sells memberships by the month has the same everyday jobs: record who joined, track fees and expiry dates, see who turns up and remind people to renew. This guide says which of those GymFlow handles for a yoga, Zumba, dance, aerobics or CrossFit-style studio, and what it does not do, so you can decide before you try it.

The short answer
If your studio sells time-based memberships (monthly, quarterly, annual or a length you choose) and wants to track fees, expiry dates and visits, GymFlow fits. If you sell class packs, take bookings for named classes or limit the seats in a class, GymFlow does not do that.
What works well for a studio
- Memberships by length: plans can be monthly, quarterly, annual or any length from 1 to 24 months, each with its own fee and admission fee. You name the plan yourself, for example "Yoga morning, monthly". See member management.
- Fees and part payments: record cash, UPI or card payments, take part payments and see who owes what. See fees and dues.
- Expiry and renewals: every member shows as Active, Expiring or Expired, so you see who to call. See membership renewal reminders.
- Attendance: a check-in screen at the entrance records each visit as Morning or Evening, with check-in and check-out times. See attendance tracking.
- WhatsApp reminders: welcome, renewal, expiry, payment due and birthday messages go out by themselves. See WhatsApp automation.
- Reports and import: five plain-English reports, and a bulk import from your existing Excel or CSV list.
What GymFlow does not do for studios
- No class timetable and no booking. Members cannot reserve a spot, and GymFlow does not limit how many people check in.
- No class packs or pay-per-class pricing. Fees follow plan lengths in months.
- Two sessions only. Attendance is recorded as Morning or Evening. If you run more batches than that, visits are still recorded, but they are not labelled by batch.
- Gym wording in places. When you set up a plan, the category choices are Strength, Cardio and Strength + Cardio. You can leave the default and name each plan yourself.
- Gym-based member app content. The workout programs and exercise library in the member app are built around gym training, with mostly strength exercises and a few cardio and mobility ones. You can add your own exercises by name, and you do not have to use workout programs at all.
- No payment collection, no GST invoices, and one location. GymFlow records payments but does not take them, and it is built for one gym, not a chain of branches.
How a studio could set it up
- Create the plans you sell, with your own names and fees.
- Import your current member list from Excel or CSV, or add members one at a time. See import and export.
- Give each member an ID and check their mobile number. Reminders go only to valid 10-digit numbers.
- Open Attendance on a phone or tablet at the entrance. Members type their ID as they arrive.
- Record renewals and payments as they happen, so the right reminders stop.
Which studios it suits
- A good fit: a yoga, Zumba, aerobics or dance studio that charges a monthly or quarterly membership, and a CrossFit-style box that sells monthly memberships.
- Probably not a fit: a drop-in studio, one that sells packs of classes, or one that must take bookings and cap the numbers in each class.
Common questions
Can I use GymFlow for a yoga studio?
Yes, if you sell memberships by length of time. You can name your own plans, record fees, track attendance and send renewal reminders. It will not take class bookings.
Does GymFlow have class booking?
No. There is no timetable and no way for a member to reserve a place in a class.
Can I try it with my own members first?
Yes. The 14-day free trial needs no credit card and includes every feature, so you can load your own list and judge it on your real studio. After that there is a free forever plan for up to 50 members, without the member app. See pricing.
Can I run more than one studio location?
GymFlow is built for one location. It does not manage branches.
Who it is for
Studio owners who sell memberships, collect fees by hand and chase renewals from memory. A centre that teaches children has a few extra things to think about. See gymnastics academies, martial arts schools and kids' clubs.
